POSITION SUMMARY:

The Certification & Licensing Division is responsible for protecting the public by assuring only qualified applicants become certified to engage in certain regulated professions and further assuring that, once certified, the professionals comply with regulatory standards. This Division seeks a motivated, detail-oriented person to fill the role of Administrative Assistant who will provide advanced administrative, clerical, and technical support for the Certification and Licensing Division Certification, Boards, and Support Unit.

This position will perform duties such as scheduling and calendaring in-person and virtual board/committee meetings, redacting and scanning documents for board/committee review and preparing materials for meetings. This position will also maintain databases, and compile statistical information, produce data reports, maintain, conduct period review of program forums, answer phone calls from the public, and set up, proctor and coordinate program examinations to include exam reviews. In addition, this position will also assist with records retention, and maintain the Certification and Licensing websites.

This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proved their ability to perform assigned tasks.

MINIMUM REQUIREMENTS:

The successful candidate will hold a High School diploma or GED and three years related experience. This position requires the ability to operate general office, experience in Microsoft Outlook, Word, Excel, Teams, and Zoom. Initiative, good judgment and the ability to prioritize, organize, and perform multiple tasks under minimal supervision. Excellent oral and written communication skills. Demonstrated ability to draft, edit and correct rough copy documents for general formatting, spelling, grammar, and punctuation. Typing with accuracy, and formatting and merging of documents. This position also requires the ability to work and communicate effectively with board/committee members, parties to proceedings, members of other government agencies, the court community, and the public. Excellent customer service skills in a challenging and diverse environment, the ability to handle and prioritize multiple tasks and inquiries effectively, as well as understand and preserve the confidentiality of program files, records and documents, and excellent teamwork and problem-solving skills.

Travel level: negligible.

The preferred candidate will have a bachelor’s degree, knowledge of the Arizona court system and/or experience in the legal, judicial or certification/licensing fields.

SELECTION PROCESS:

This is a Regular, Full-time, Non-Exempt position.
